RETENTION PERIODS

AUTOMATED DECISION MAKING (“ADM”)

ADM occurs when decisions are made about you by a computer or some other information analysing machine. Examples of this include the machine scanning of CVs, computer processed aptitude or personality tests and website profiling. We do not use ADM.

The type of data we hold

When you access our website, we may collect the following personal data:

  • Login data (i.e. username and password) which you input in respect of our subscriber services;
  • Data you input into online forms as specified in the form.

For information you are asked to provide (as part of signing up to a service), you are obliged to provide this to enable us to perform services to you and to ensure our IT systems remain secure and effective (and operate in line with data protection legislation). The storage of server log files is based on Art. 6 (1) (f) GDPR. As the operator of the website it is our legitimate interest to ensure a technical error-free presentation of the website, for which the collection of server log files is required.

Tools used on our Website

Google Analytics

This website uses Google Analytics, a web analytics service provided by Google Inc. (hereafter: Google). Google Analytics uses „cookies“ to analyse the website on how it is used by the visitors. The information generated by the cookie about your usage of this website is usually transmitted and stored at a Google server, possibly in the USA. IP-Anonymisation is activated within the member states of the European Union and the European Economic Area. Only in exceptional cases the full IP address will be transmiteted to a Google server in the USA and shortened there. On behalf of the website operator, Google will use this information for the purpose of evaluating your use if the website, compiling reports on website activity and providing other services relating to webiste activity and internet usage to the website operator. Google Analytics Reports on Demographics Characteristics and Interests

We activated the function in Google Analytics to create advertising reports. The reports on demographic characteristics and interests contain information on age, gender and interests. This allows us to asses the interests of our users without being able to assign this data to individual persons. You can learn more abot the advertising functions here.

You can stop the use of the activities and information of Google account under Settings for advertising by ticking the checkbox.

In addition or as an alternative to the browser add-on, you can prevent tracking by Google Analytics on our pages by clicking on the following link. This will install an opt-out cookie on your device. This will prevent the collection by Google Analytics for this website and for this browser in the future as long as the cookie remains installed in your browser.

CUSTOMERS/POTENTIAL CUSTOMERS

The type of data we hold

  • Contact details of those instructing us (such as name, job title, address and email address) or potential customers;
  • In some instances, we may require documentation to verify identity including passport or driving licence details for individuals or details of shareholders and directors from Companies House for organisations;
  • Information about what you require from us;
  • In some instances, we may also need to carry out credit checks or other financial checks with (and obtain personal data from) the HMRC or similar financial organisations;

You are obliged to provide this information to enable us to perform our contract or to take steps to enter into a contract with you and to enable us to comply with statutory obligations, such as verifying identity and source of funds for anti-money laundering purposes and not engaging those on restricted lists. If you do not provide this information we may not be able to provide any services to you.

The purposes of processing

To enable us to:

  • Perform our contractual obligations or take steps to enter into a contract (e.g. provide a quote);
  • Preparatory steps to deal with your enquiry to potentially engage you as a customer;
  • Verify identity and source of funds where legally required to do so (for example, in accordance with anti-money laundering legislation);
  • Retain a record for the establishment or defence of legal claims or for insurance purposes;

Sharing your data

Your data will be shared internally to the extent necessary to carry out our obligations under our contract with you and/or in line with the purposes set out above. This is likely to include our Senior Management, Engineering, Manufacturing, Operations, IT, Marketing and Finance teams. It may also be provided to other employees at our company to the extent necessary for their role and to make decisions about the business. Your data may also be shared with our bank as necessary where you are making payments to us.

We will also share your personal information with third parties where required by law (for example to comply with anti-money laundering legislation) and where it is necessary to administer the working relationship with you. We may also need to share personal data with third parties such as potential buyers of the business where applicable (the recipient of this information will be bound by confidentiality restrictions if the data cannot be anonymised).

This may include suppliers. We will hold your contact details (such as name, email and phone number) and details of the service you are providing to us as per the terms of our contract with you.

It is neccessary to provide this information to us to enable both parties to perform the contract or to make enquiries to potentially engage your services. A failure to provide this information may mean we are unable to enter into a contract with you or may leave you exposed to claims (for example where you enter into a contract but do not act in accordance with this).

The purposes of processing

The personal data is processed to ensure that you can fullfil your contractual obligations (e.g. providing a service to us, contacting you to obtain the service). (Purpose 1)

We also retain this data to ensure we have a record of services to establish/exercise/defend claims and to assess the provision of future work to you. (Purpose 2)
